At Heavy, marketing is a tool for growth. It helps us tell our story, build the right relationships and give our sales team stronger ways to open doors and pursue opportunities.
We’re looking for a Content & Pursuits Coordinator who can help turn that strategy into action. This role is equal parts creative and organized, capturing the stories happening across Heavy while supporting the proposals, pursuits and marketing initiatives that help move our business forward.
Our team is constantly solving complex problems, testing ideas and pushing what’s possible to create bold, unexpected moments in the built world. We want to share more of that, not just the finished work, but the talented people, thinking and creativity behind it.
Working directly with our Director of Client Development & Marketing, as well as alongside our Strategic Marketing Agency, you’ll help turn broader sales and marketing priorities into meaningful content and well-executed pursuits. You’ll also coordinate photography and events and make sure the right information, and assets are ready when opportunities arise.
We’re looking for someone curious, proactive and highly organized, with a strong eye for content and an ability to recognize a great story, bring forward ideas and follow through on the details.

Core Roles & Responsibilities
Content & Storytelling
- Be plugged into what is happening across Heavy’s studio, shop and projects, actively looking for stories and moments worth sharing.
- Capture day-to-day photo and video content of our people, projects, process, testing, prototyping, fabrication and installations.
- Create and schedule social content across platforms, combining strong visuals, graphic design and written content to bring Heavy’s stories to life.
- Help tell the stories behind the finished work, including the people, thinking, creativity and problem solving that brought it to life.
- Build relationships across the Heavy team so people are comfortable sharing what they’re working on and bringing you into interesting moments as they happen.
- Create timely, authentic content that gives our audience a better look inside Heavy and the people who make the work possible.
- Work with the Director of Client Development & Marketing and our external creative agency to turn Heavy’s broader marketing strategy into content opportunities.
- Help build and maintain a strong pipeline of content so we aren’t only talking about projects once they are finished.
- Recognize opportunities for employee stories, project milestones, behind-the-scenes moments and thought leadership that can be developed into larger pieces with our agency.
- Coordinate content approvals and scheduling to keep Heavy’s social presence active, relevant and on-brand.
Pursuits & Proposal Support
- Support the Director of Client Development & Marketing and sales team with day-to-day pursuits and proposals.
- Assemble pursuit and proposal packages using Heavy’s approved messaging, templates, project experience and brand assets.
- Gather the project details, photography, team information and internal input needed to build strong, accurate proposals.
- Work with our external agency on larger or strategically important pursuits where additional creative support is required.
- Make sure the right Heavy projects, experience, people and stories are being put forward for each opportunity.
- Collect client testimonials, quotes and reference letters to support proposals, case studies and marketing collateral.
- Maintain a strong library of project information, case studies and pursuit materials so we aren’t starting from scratch every time a new opportunity comes through the door.
- Provide additional support around proposal deadlines when the team is stretched.
Agency & Sales Liaison
- Work directly with the Director of Client Development & Marketing as the day-to-day connection between Heavy, our external marketing agency and sales team.
- Coordinate agency requests, schedules, approvals, project information and asset delivery to keep priorities moving.
- Gather the information and internal input our agency needs to execute campaigns, content and marketing initiatives.
- Maintain and update CRM records in Pipedrive so pipeline and contact information stays accurate and useful for both sales and marketing.
- Prepare agendas, information and materials for recurring sales and pipeline meetings.
- Research and vet major project leads and opportunities for the pursuits team.
- Keep a pulse on what is coming through the pipeline and identify projects, relationships or opportunities that could become strong marketing stories.
Photography Coordination
- Manage relationships with external photographers to capture high-quality photography of Heavy’s projects.
- Schedule and coordinate photo shoots around important project milestones and completions.
- Identify opportunities to capture projects throughout their lifecycle, not only once they are finished.
- Organize and maintain Heavy’s photography and video library.
- Coordinate usage rights and licensing with photographers, clients and project partners.
- Make sure our best project photography, behind-the-scenes content and supporting information are easy for our team and agency to find and use.
Events & Visibility
- Support the Director of Client Development & Marketing with Heavy-hosted events, industry events, conferences and other opportunities where we want Heavy to show up.
- Coordinate logistics for Lunch & Learns, studio and shop tours, client events and other Heavy-hosted experiences.
- Coordinate logistics for industry conferences and trade shows we attend or exhibit at, including registration, travel, shipping materials and staffing.
- Help capture content while we’re at events so the value of being there extends beyond the event itself.
- Look for opportunities to tell the story of Heavy’s involvement in the industry, our partnerships and the relationships we are building.
Internal Marketing Operations
- Maintain Heavy’s internal library of templates, case studies, brand assets, photography and marketing materials so our team and external agency have what they need.
- Manage inventory and ordering of branded merchandise, printed collateral and business cards.
- Maintain relationships with print, merchandise and other marketing vendors.
- Help gather the information and inputs our agency needs for regular marketing performance reporting.
- Keep marketing calendars, content priorities and project milestones organized and visible.
- Flag opportunities to improve how sales, marketing and creative information flows between systems, teams and our external agency.
Other Duties
- Support day-to-day administrative needs of the marketing function, including invoicing, scheduling and vendor coordination.
- Assist in onboarding new marketing or sales tools and partners as Heavy’s stack evolves.
- Provide backup support for pursuit and proposal deadlines when the team is stretched.
- Jump into projects and opportunities that may not fit neatly into a job description but help Heavy tell its story, build relationships or move an opportunity forward.
- Identify ways we can continuously improve how information, content and opportunities move between sales, marketing and our agency.
Qualifications / Required Knowledge & Skills
- A natural curiosity about people, projects and how things are made.
- Comfortable approaching people, asking questions and finding the interesting story behind what they’re working on.
- Experience creating photo and video content for social media and digital platforms.
- Strong written communication skills and an ability to take technical or complex information and make it interesting and understandable.
- An eye for good design, photography and storytelling, with strong brand instincts.
- Highly organized and detail-oriented, with the ability to manage a lot of moving pieces without losing sight of the bigger picture.
- Comfortable working across sales, marketing, leadership and external agency partners.
- Experience with CRM tools such as Pipedrive is an asset.
- Proactive and motivated to tell Heavy’s unique stories rather than waiting for content to be handed to you.
- A self-starter who can operate day to day with minimal oversight.
- Someone who brings ideas forward and isn’t afraid to try something different.
- Someone who sees what needs to happen and takes ownership of making it happen.
Requirements
- 2+ years of experience in marketing, content creation, communications, sales coordination or a similar role.
- Experience in B2B, AEC, real estate, architecture, design or another creative industry is an asset.
