Role Overview
We are seeking a proactive and hands-on Facilities Coordinator to support the day-to-day operations and overall employee experience within our workplace.
The facilities Coordinator is responsible for supporting the safe, efficient, and reliable operation of JSI’s two Kanata locations. This role ensures that facilities are well maintained, compliant with safety standards, and responsive to the needs of employees and visitors. Working closely with internal teams and external vendors, the Facilities Manager plays a key role in creating a productive and welcoming workplace environment.
This is a highly visible role that contributes directly to creating a positive and professional workplace experience.
Key Responsibilities
- Conduct daily walk-throughs to ensure the building is clean, organized, and operational.
- Support Facilities Manager in responding promptly to facility-related service requests and emergencies, updating service tickets and documentation as required.
- Provide facilities support for company events and special projects as required.
- Ensure compliance with health, safety, and security standards, policies, and procedures.
- Coordinate and monitor cleaning services; escalate concerns when needed.
- Track and report facility issues (lighting, plumbing, HVAC, furniture, etc.).
- Liaise with landlord or service providers for minor repairs and maintenance.
- Support oversight of waste and recycling areas and monitor supply levels.
Qualifications & Experience
- Previous experience in facilities management, building maintenance, or a related field.
- Strong organizational, problem-solving, and time-management skills.
- Ability to work independently and manage multiple priorities.
- Comfortable interacting with employees, leadership, and external vendors.
- Able to work independently and prioritize effectively in a part-time structure.
- Basic understanding of workplace health & safety practices.
- Physically able to move up to 50 pounds of equipment and supplies as required.
- Comfortable standing, walking, bending, and performing manual tasks for extended periods.
- Must be eligible to obtain and maintain up to a top-secret security clearance.

Schedule & Structure
- Approximately 3–4 hours per day (flexible scheduling to align with peak building activity).
- Increased hours may occasionally be required during major events or initiatives (with advance notice).
