Position Summary:
Under the direction of the Student Recruitment Supervisor, plans, coordinates, and participates in individual and/or team virtual and in-person visits representing McGill’s Macdonald Campus programs primarily to Quebec CEGEPs, Canadian, and International High Schools. May include some overnight travel.
Participates in undergraduate recruitment events, targeting prospective students, applicants, admitted and confirmed students, parents and counselors, including on and off campus events, newly admitted student activities, Open House, virtual events, and more.
Presents information, including undergraduate admissions criteria, academic programs offered at Macdonald Campus, and student life and services to groups of potential students, families, counsellors, and industry professionals.
Duties and Responsibilities:
- Assists with the coordination and logistics of recruitment events, including virtual information sessions, campus visits, school fairs, open houses, and other student recruitment activities.
- Represents the Faculty at select recruitment events and information fairs by providing prospective students and families with general information regarding programs, admission requirements, student services, and campus life in both English and French.
- Responds to routine inquiries from prospective students via email, phone, social media, and other communication channels. Refers complex admission or academic questions to senior recruitment staff.
- Maintains and updates recruitment materials, presentations, contact lists, and event databases.
- Assists in creating and scheduling content for social media platforms and recruitment communications.
- Supports the collection and compilation of recruitment statistics, event attendance data, survey results, and other reporting information.
- Prepares recruitment packages, promotional materials, and supplies for events and campus visits.
- Assists with organizing campus tours, student-for-a-day programs, open houses, orientation activities, and other prospective student events.
- Coordinates schedules for student ambassadors and tour guides, assists with training logistics, and monitors completion of administrative documentation.
- Communicate with prospective students, applicants, parents, guidance counsellors and other stakeholders regarding admissions, enrolment procedures and applications and other inquiries.
- Provides follow-up communications with applicants.
- Processes purchase requisitions, tracks recruitment-related expenditures, reconciles routine transactions, and maintains financial records for recruitment activities.
- Maintains filing systems, databases, and shared resources to support the efficient operation of the unit.
- Create material and handouts to bring to site visits or post on website.
- Participates in special projects and performs other related duties in support of recruitment, admissions, and student engagement activities, including but not limited to CEGEP and high school visits, job fairs and Open House.
- Establish and foster effective working relationships by identifying needs and providing support in the delivery of services. When appropriate, inform supervisor and formulate recommendations.

Other Qualifying Skills and/or Abilities:
- Demonstrated ability to provide professional, responsive, and client-focused service to prospective students, applicants, parents, and other stakeholders.
- Strong verbal and written communication skills, with the ability to convey information clearly and adapt messaging to diverse audiences in both English and French.
- Proven organizational and time management skills, with the ability to coordinate multiple events, schedules, deadlines, and competing priorities simultaneously.
- Ability to represent the Faculty professionally at recruitment events, information sessions, campus tours, and community outreach activities.
- Experience creating, editing, and maintaining promotional materials, presentations, communications, and online content.
- Proficiency with Microsoft Office Suite and experience using databases, customer relationship management (CRM) systems, shared drives, or other administrative software.
- Demonstrated ability to collect, compile, and maintain accurate data, records, reports, and financial documentation while ensuring attention to detail.
