Position Summary. The HR Administrator is a highly visible, on-site role supporting the Windsor office and North America Human Resources organization. This position provides dependable office, administrative, employee, and vendor support while building foundational experience across HR operations. The role is intentionally designed as a feeder position into the HR department: the successful candidate will be curious, organized, service-oriented, and eager to grow into broader HR responsibilities over time, including opportunities to support U.S. locations as business needs and work authorization permit.
Key Responsibilities
- Office and workplace administration: purchase office supplies; coordinate day-to-day office needs; and follow up on facilities, equipment, maintenance, and employee office-related requests.
- Manage office layout, workspace changes, seating charts, signage, office setup, and communications related to department moves and seating changes.
- Serve as the reception point of contact by coordinating visitor arrivals and departures, handling important calls, and receiving and distributing mail and packages.
- Manage office and administrative vendors and service providers, including day-to-day communication, service coordination, budgets, quotes, scheduling, performance follow-up, and outstanding issues.
- Coordinate administrative purchasing, expense submissions, invoices, advance payments, and payment follow-up with Finance and vendors; maintain accurate vendor, invoice, and payment records.
- Provide administrative support for employees, business visitors, and business travel, including practical coordination before, during, and after visits or travel.
- Coordinate company housing needs, including cleaning, maintenance, repairs, property-management communication, vendor coordination, invoices, payments, and related records.
- Support administrative management of MNA company vehicles and coordinate insurance-claim administration related to employee-owned or leased vehicles, as assigned.
- Coordinate quarterly employee activities and the annual company party, including venues, catering, supplies, vendors, purchasing, payments, employee communications, and on-site logistics.
- Collect, organize, and consolidate information required for insurance renewals; coordinate follow-up with relevant departments and prepare organized information for submission to the responsible team or person.
- Coordinate required training and administrative learning activities, including needs tracking, registration, scheduling, provider communication, completion records, and follow-up.
- Provide administrative support for new sites and offices, including projects supporting Alabama, California, and other North America growth initiatives.
- Maintain administrative trackers, records, supporting documents, and timely follow-up on deadlines and outstanding requests from employees and departments.
- Support HR projects and duties as assigned, including projects that build knowledge of HR policies, employee lifecycle processes, compliance, recruiting, benefits, payroll, and people operations.
- Demonstrate flexibility to support evolving North America HR priorities and, as the role develops, be open to training and future work assignments at U.S. locations, subject to business needs and applicable work authorization.
Growth Path and Development
- This role is expected to develop beyond core administration. The HR Administrator will receive exposure to Human Resources processes and may progressively take on HR coordination and project work based on performance, business need, and demonstrated capability.
- The successful candidate will build trusted working relationships across the Windsor office and North America HR team, learn the business, and pursue growth toward future HR coordinator, generalist, or specialist opportunities.
Qualifications
- Post-secondary education in Human Resources, Business Administration, Office Administration, or a related field is preferred; an equivalent combination of education and relevant experience will be considered.
- Two or more years of administrative, office coordination, HR coordination, or related experience preferred.
- Strong organization, follow-through, judgment, and ability to manage multiple priorities with attention to detail.
- Professional, service-oriented communication skills and confidence working with employees, leaders, visitors, vendors, and cross-functional partners.
- Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint; comfort learning HR, travel, purchasing, and expense systems.
- Ability to handle confidential information with discretion and maintain accurate records.
- Interest in developing a long-term HR career and willingness to take on new HR projects and responsibilities.
- Ability and willingness to travel occasionally to U.S. locations in the future, subject to business needs and applicable work authorization.
- English required. Mandarin language capability is an asset but is not required.
