Job summary
We are hiring a Collections Administrative Assistant to join our centralized debt recovery team in Regina. Our ideal candidate is self-motivated and highly organized, has a high degree of competence with basic accounting concepts and financial transactions, is confident with both formal written and verbal communication, and has excellent attention to detail and time management skills. They are able to work independently, follow instructions with minimal supervision, and thrive in a fast-paced, professional team environment, providing excellent service for internal and external clients.
Responsibilities include:
- Opening Collection files daily for multiple clients across multiple offices
- Preparing and maintaining documentation for incoming debtor payments including E-transfers, cheques and wire transfers
- Performing property, employment and judgment searches for all applicable files through various sites for multiple offices
- Accessing and using online resources such as CollectLink, Techcom, Litigation & Collection Highway to perform various activities to maintain accurate data
- Performing financial remittance as required for multiple clients across multiple offices
- Monitoring multiple work lists in the collection workflow platform
- Preparing, processing and tracking billing and disbursement invoices for multiple clients
- Following up with clients to address any outstanding or pending invoice approvals
- Monitoring multiple inboxes in Outlook
- Paying multiple vendor invoices in a timely manner
- Running workflows to pull demand letters and proofing, printing and mailing letters
- Closing files as applicable
- Scanning paper files as required
- Performing mail merges for large letter campaigns as required
- Effectively communicating within the firm and collections team
- Ensuring compliance with client directives and risk controls
Qualifications include:
- Minimum five years of experience in an administrative, accounting clerk, or banking services role
- An accounting or administration diploma or degree is considered an asset
- Ability to maintain an efficient electronic file system with exceptional attention to detail
- Comfortable performing repetitive tasks while maintaining consistency and accuracy and commitment to due diligence
- Ability to organize and prioritize numerous tasks and complete them under time constraints
- Strong communicator with strong problem solving and analytical skills
- Ability to work independently and to adapt to a fast changing environment
- Capacity to perform complex editing and formatting for correspondence and documents
- Ability to follow the instructions from a diverse group of clients, lawyers and staff
- Software program knowledge or certification in: FCT Default Solutions/Collect Link, Techcom, Collection and Litigation Highway, Adobe, Aderant, MS Word, Excel, Planner, Copilot and document management software are assets
