Job Summary
We're looking for a bilingual, highly organized Coordination & Communications Associate to keep our day-to-day operations running smoothly. This is primarily an administrative and coordination role, managing projects, schedules, emails, logistics, and documentation, with a smaller communications and social media component supporting our online presence. It's a great entry-level fit for someone detail-oriented, proactive, and eager to grow. As a member of a small, fast-moving team, you'll wear multiple hats and see your responsibilities evolve as the business does.
Key Responsibilities
Coordination (~50%)
Coordinate cross-functional teams and projects, keeping tasks on track and moving forward.
Take clear, detailed notes during meetings, capturing decisions and action items so nothing is missed.
Follow up with team members and stakeholders on deadlines and deliverables to keep projects on schedule.
Track project timelines, action items, and next steps, flagging delays or blockers early.
Manage calendars, schedule meetings, and organize logistics for meetings, events, and internal team activities.
Organize and maintain files, records, and internal documentation with accuracy and discretion.
Coordinate with vendors and service providers, and provide general administrative support across departments as needed.
Communication (~50%)
Monitor and manage email inboxes and general correspondence, prioritizing and routing follow-ups.
Draft and format communication materials, including internal announcements, newsletters, and social posts.
Help schedule and publish content across the company's social media channels.
Create simple graphics using tools like Canva.
Support the content calendar and assist with ongoing campaigns.
Help track engagement and compile basic performance summaries.
Coordinate with external designers, agencies, or freelancers, and serve as a point of contact for communications.
Qualifications
Education
Bachelor's degree or college diploma in Business Administration, Communications, Office Administration, or a related field, or equivalent practical experience.
Technical Skills
1–2 years of experience in an administrative, coordination, or office support role (new graduates welcome).
Strong written and verbal communication skills in both French and English.
Proficiency with Microsoft Office and/or Google Workspace.
Familiarity with social media platforms and basic content/design tools (e.g., Canva, Hootsuite, Meta Business Suite) is an asset.
Comfort learning and working with new digital tools and systems.
Soft Skills
Close attention to detail and strong organizational skills.
Ability to take initiative, work independently, and collaborate effectively within a cross-functional team.
