Our client, a creative and collaborative organization with offices in Toronto and New York, is looking for an Accounting/Office Manager to join their team on a contract. This is a fantastic opportunity for an experienced accounting professional who enjoys being hands-on and taking ownership of a broad range of accounting, payroll, HR, and administrative responsibilities. The successful candidate will manage the accounting functions for both the Toronto and New York offices and work closely with the CEO, staff, clients, suppliers, and external accounting partners.
About the Role
This role involves managing a variety of accounting functions and providing administrative support to ensure smooth operations across both offices.
Responsibilities
Accounting:
- Manage full-cycle Accounts Payable and Accounts Receivable
- Process supplier invoices, employee expenses, payments, cheques, EFTs, ACH payments, and wire transfers
- Manage monthly billing cycles and follow up on outstanding receivables
- Reconcile bank accounts, credit cards, AR, and intercompany accounts
- Monitor cash flow and prepare bi-weekly cash flow reports
- Process intercompany transactions and foreign currency transactions
- Prepare quarterly financial packages and consolidated financial statements
- Prepare year-end accounting packages and assist with external accountants
- Prepare accruals, prepaids, depreciation, and other journal entries
- Support annual budgeting and quarterly budget-to-actual reporting
- Manage Canadian and U.S. tax-related filings and requirements
Payroll & Benefits:
- Process semi-monthly payroll for Canadian and U.S. employees
- Maintain payroll records and process payroll journal entries
- Manage vacation tracking and employee deductions
- Administer employee benefits, including RRSP, 401(k), FSA, and health benefits
- Assist with employee onboarding and offboarding
Office & Administrative Support:
- Support the day-to-day administration and operations of the office
- Manage office supplies, equipment, courier accounts, and related vendors
- Assist with travel arrangements and other administrative requirements
- Maintain company agreements, records, and documentation
- Provide support with IT administration, insurance, and other operational matters
- Assist with HR and company policy administration across Ontario and New York
Qualifications
- University degree or diploma in Accounting, Business, or a related field
- 3–5+ years of experience in full-cycle accounting, AP/AR, and related administrative functions
Required Skills
- Strong understanding of accounting fundamentals
- Experience with QuickBooks is an asset
- Strong Excel and Microsoft Office skills
- Excellent organizational and time-management skills
- Highly detail-oriented and able to manage multiple priorities
- Comfortable working independently and taking ownership of responsibilities
- Strong communication and interpersonal skills
- Proactive, responsive, and solutions-oriented
- Experience working with both Canadian and U.S. accounting/payroll is an asset
