About The Role
Royal York Property Management is hiring an On-Site Leasing Administrator to support leasing, occupancy, and tenant retention at a designated residential property.
This position combines leasing, tenant relations, and on-site administration. Your primary objective will be to help maintain strong occupancy by converting qualified prospects into new tenants and supporting the renewal of existing tenancies.
You will conduct property tours, follow up with prospective tenants, assist with applications and leasing documentation, coordinate renewal outreach, communicate with existing tenants, and identify opportunities to prevent avoidable turnover.

Key Responsibilities
Leasing and Tenant Placement
- Respond promptly and professionally to rental inquiries.
- Schedule and conduct tours of available units, amenities, and common areas.
- Maintain current knowledge of available units, floor plans, rental rates, property features, and amenities.
- Understand prospective tenants’ needs and recommend suitable available units.
- Follow up consistently with prospects following tours and throughout the leasing process.
- Address questions, concerns, and objections that may prevent qualified prospects from moving forward.
- Confidently guide qualified prospects toward the next stage of the leasing process.
- Assist applicants with rental applications, supporting documentation, and leasing requirements.
- Coordinate with internal teams involved in applicant screening, approvals, and lease preparation.
- Maintain accurate records of inquiries, tours, applications, follow-ups, and leasing activity.
- Support rental advertising and ensure that information about available units remains accurate and current.
- Gather prospect feedback and identify factors affecting leasing performance.
Tenant Retention and Lease Renewals
- Build professional relationships with existing tenants and maintain regular communication.
- Proactively contact tenants approaching the end of their lease term.
- Manage renewal outreach and follow-up to help secure lease renewals.
- Identify tenants who may be considering moving and understand the reasons behind their decision.
- Address renewal objections and clearly communicate the benefits of remaining at the property.
- Coordinate with property management, maintenance, customer care, and other internal teams when tenant concerns may affect retention.
- Follow up with tenants after concerns have been addressed.
- Maintain accurate records of renewal conversations, upcoming lease expirations, and retention activity.
- Monitor renewal outcomes and identify tenants who may require additional attention.
- Gather tenant feedback and identify recurring concerns that could contribute to turnover.
- Support initiatives intended to improve tenant satisfaction, renewal rates, and overall occupancy.
On-Site Administration
- Maintain organized leasing, application, renewal, and tenant records.
- Coordinate with property management, maintenance, leasing, customer care, and other teams supporting the property.
- Ensure vacant units, model units, leasing areas, and common spaces are prepared for tours.
- Report maintenance, cleanliness, safety, or presentation concerns that could affect leasing or the tenant experience.
- Assist with move-in and move-out coordination when required.
- Support key handovers, unit inspections, and related documentation as needed.
- Provide day-to-day administrative support for leasing and tenant operations.
- Follow company procedures and applicable residential tenancy requirements when handling tenant information and leasing documentation.
What We’re Looking For
- Two to three years of relevant experience in residential leasing, property management, multifamily housing, tenant services, hospitality, customer service, or sales.
- Previous experience with lease renewals, tenant retention, or customer retention is a strong asset..
- Experience with Rent Manager, Entrata, Buildium, AppFolio, MRI, or comparable platforms is also relevant.
- Strong leasing, sales, and customer service skills.
- Confidence conducting property tours, responding to objections, and closing qualified prospects.
- Ability to build professional relationships with prospective and existing tenants.
- Comfort conducting renewal conversations and working to retain tenants who may be considering leaving.
- Strong organizational, record-keeping, and follow-up skills.
- Ability to manage new leasing activity and upcoming renewals simultaneously.
- Excellent written and verbal communication skills.
- Comfort working with CRM, property management, and other digital systems.
- A professional and approachable manner suited to an on-site residential environment.
- Flexible availability, including evenings and weekends when required by leasing activity.
Compensation
C$50,000–C$60,000 annual base salary, plus performance-based incentives.
Performance incentives may be earned based on new leasing results, lease renewals, tenant retention, and overall occupancy performance.
Compensation within the stated base salary range will be determined based on relevant experience, leasing and retention background, qualifications, and overall suitability for the position.
