Position
The Facilities Coordinator is responsible for the day-to-day coordination of facility upkeep and use, event management, and supporting the rentals program with the purpose of maintaining an efficient and safe workplace for all staff, students, and user groups.
Duties and Responsibilities
In collaboration with the facilities team, the Facilities Coordinator will:
- Support the mission, vision and values of Rundle.
- Provide operational oversight and support for all major Rundle events as presented in Event Planners. Ensure accountability of tasks and attend all events to pursue the best outcome possible.
- Work under the Facilities Manager with any tasks necessary to support the Building Attendants (e.g., purchasing, inventories, logistics).
- Work alongside the Operations Manager with any tasks to support that position as assigned by the Facilities Manager.
- Provide oversight to Rundle’s rental administrator, and respond to escalated inquiries from new or existing renters.
- Research and implement a rentals program software application.
- Maintain operational knowledge of Rundle Facilities components at each campus, and coordinate activities in conjunction with school and after hours programming.
Qualifications
Education:
- Post Secondary Education in a related field
Experience:
- Minimum two years experience in a role utilizing similar knowledge and skills
Knowledge and Skills:
- Outstanding personal and communication skills necessary to work alongside many stakeholders, including staff, rental clients, service providers, contractors and others.
- Strong coordination and scheduling ability.
- Adept at organization in minute detail and in time sensitive problem solving.
- Highly effective interpersonal skills, including written and verbal communication.
- Able to remain focussed, adaptable, and solution oriented in stressful and evolving situations.
- Ability to attend events at both Rundle campuses and in locations across the city.
- Flexibility in scheduling that includes day shifts or evening shifts based on the event calendar.
- Proficient in Google applications (Docs, Sheets, Drive, Calendars) and automation systems (security, building access).
