What you’ll do
- Coordinate daily operations across teams, making sure schedules, orders, projects, and deliverables stay on track
- Own and improve core processes: onboarding, scheduling, procurement, inventory, order fulfillment, and customer follow-through
- Be the point of contact for vendors, suppliers, and service partners, from quotes and purchase orders to contracts and renewals
- Track budgets, expenses, invoices, and operational metrics, and flag issues early
- Build and maintain reports and dashboards in Excel, Google Sheets, Power BI, or similar tools
- Manage tools and systems such as ERP, project management platforms (Asana, Monday.com, Smartsheet), and ticketing systems
- Organize meetings, events, travel, and logistics so leaders can focus on decisions
- Document procedures and build checklists, templates, and playbooks the whole team can use
- Spot bottlenecks and propose practical fixes using Lean or continuous improvement thinking
- Support compliance, health and safety, and quality requirements, and prepare for audits
- Coordinate across sales, finance, HR, logistics, and customer service so nothing falls between teams

- Operations Coordinator II - 2-4 years : Owning processes end to end, managing vendor relationships, reporting, leading small improvement projects, training new coordinators
- Senior Operations Coordinator - 4+ years : Leading cross-team initiatives, managing budgets and key vendors, driving process improvements, supporting leadership and mentoring the team
- Promotion criteria are written down at every level, with regular career conversations. Many of our senior coordinators have moved into operations management, project management, supply chain, or business analysis.
What you bring
Must have
- Strong organization and the ability to juggle competing priorities without dropping details
- Clear written and verbal communication, and a calm, friendly way of working with all kinds of people
- Comfort with Microsoft Office or Google Workspace, especially Excel or Sheets
- Problem-solving mindset: you see the issue, find the fix, and follow through
- Diploma or degree in Business Administration, Operations, Supply Chain, Logistics, or a related field, or equivalent experience. We value reliability and initiative over pedigree.
- Customer service, retail, hospitality, administrative, military, and volunteer experience all count
- Legal authorization to work in Canada (citizens, permanent residents, and valid work permit holders)
Nice to have (not required)
- Experience with ERP, inventory, or project management tools (SAP, NetSuite, QuickBooks, Asana, Smartsheet)
- Basic data analysis or reporting skills (pivot tables, Power BI, SQL)
- Knowledge of procurement, logistics, or vendor management
- Certifications or training: Lean Six Sigma Yellow/Green Belt, PMP/CAPM, or supply chain coursework
- Experience in [manufacturing, retail, healthcare, logistics, tech, hospitality, construction, etc.]
- Fluency in French, an asset for roles serving Quebec or bilingual customers [if applicable]
