Hiring Senior Administrative Assistant in Ottawa-Public Sector/Onsite
Stafingo is hiring for their client and is seeking an experienced Senior Administrative Assistant to provide high-level administrative and program support for a public-sector modernization initiative in Ottawa, Ontario.
This is an excellent opportunity for a highly organized administrative professional with strong experience supporting senior leaders, coordinating meetings and events, preparing briefing materials, managing correspondence, coordinating travel, and tracking program activities in a government or large enterprise environment.
Position Details

- Hours: Approximately 36 hours/week
- Rate: $22–$25/hour (depending on experience and qualifications)

Key Responsibilities
- Provide comprehensive administrative support to program leadership and project teams.
- Coordinate meetings, workshops, stakeholder sessions, and other program events.
- Manage calendars, meeting invitations, room bookings, attendee coordination, and presenter logistics.
- Prepare professional meeting materials, including:
- Agendas
- Briefing decks
- Meeting notes
- Records of Decision
- Presentations and supporting documentation
- Prepare and coordinate professional correspondence, emails, announcements, invitations, and other communications.
- Track program and project activities, actions, deadlines, and follow-ups using tools such as Microsoft Excel, Microsoft Planner, or Miro.
- Coordinate travel arrangements, including flights and accommodations.
- Prepare and submit travel claims and maintain accurate supporting documentation.
- Maintain organized records and documentation using SharePoint Online, OneDrive, and other information-management tools.
- Support senior management with administrative coordination, document preparation, reporting, and follow-up activities.
- Liaise professionally with internal teams, stakeholders, presenters, and other participants.
- Perform additional administrative duties as required to support successful program delivery.
Required Qualifications & Experience
- Minimum 3 years of experience providing a broad range of administrative support services within the past 5 years.
- Minimum 2 years of professional experience within the past 5 years using:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- SharePoint Online
- OneDrive
- Microsoft Planner
- Demonstrated experience supporting executives, directors, program managers, or senior leadership.
- Strong experience with meeting coordination, scheduling, agendas, briefing materials, and follow-up.
- Experience drafting professional correspondence, emails, announcements, and invitations.
- Experience maintaining trackers, action items, deadlines, and administrative records.
- Experience coordinating travel arrangements and processing travel claims.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills in English.
- Ability to manage multiple priorities and work effectively in a fast-paced, multi-stakeholder environment.
- Must currently hold a valid Secret-level security clearance issued by PSPC.
Preferred Background
Candidates with experience supporting Government of Canada, federal departments, public-sector organizations, defence, or large enterprise programs will be well suited to this opportunity.
Experience working with Microsoft 365 collaboration and information-management tools, including SharePoint Online, OneDrive, Teams, Planner, Word, Excel, and PowerPoint, is highly valued.
