A fast-moving commercial construction company needs someone who can run a busy front office like it's second nature - and who's ready for a career, not just a job.
You'll be the first face people see and the person who quietly keeps everything running. You'll work directly with an HR Manager who's genuinely invested in growing your career. You'll go from "office coordinator" to real HR involvement, on your own timeline.
This isn't a role where you sit at a desk and wait for the phone to ring. You'll be the connective tissue for a small, high-energy head office team - greeting clients and candidates, coordinating with IT and health & safety consultants, keeping staff training on track, managing the fleet, and supporting site superintendents across multiple job sites. No two days look the same, and that's the point.
What makes this different from a typical office admin posting is the runway. This company has built a clear path from Office Coordinator into HR - think training coordination, appraisal support, and eventually a seat at the table for recruitment - for the person who shows they want it. You'll report directly to the HR Manager, get real exposure to how the business runs, and join a tight-knit team where autonomy is the norm, not the exception. Construction experience isn't required; the environment is easy to pick up, and if you've got HR education or exposure, that's your fast lane to more responsibility.
What You'll Be Doing
- Open the office each morning and own the daily routines that keep the workplace running smoothly
- Serve as the first point of contact at reception, welcoming clients, visitors, and interview candidates
- Act as the liaison between the office and external partners like IT and health & safety consultants
- Coordinate staff training, including health and safety training and training records
- Support fleet administration and coordination
- Manage office vendors and services, from phone lines to supplies to general facilities needs
- Provide coordination support to site superintendents across multiple project locations
- Handle general office administration, correspondence, and meeting support
- Pitch in on HR tasks like onboarding, appraisal administration, and applicant pre-screening as your skills and interest grow
What We're Looking For
- Around 5+ years of office coordination or administration experience
- A natural coordinator who's organized, proactive, and comfortable juggling requests across teams and locations
- A strong communicator, in person and over email, with a polished front-of-office presence
- Proficiency with Microsoft Office
- A self-starter who thrives on a small, high-energy team
- Construction industry exposure is a nice-to-have, not a requirement
- HR education or exposure is a strong asset and opens the door to expanded responsibilities
Compensation & Work Model
$55,000 – $65,000 per year, based on experience. This is a fully in-office role.
Location & Travel
Based in Oakville, ON. The role includes coordination support across the organization's project sites.
