The Board & Governance Coordinator will serve as a key liaison between the Board of Directors, Board Committees, and Executive Leadership, ensuring meetings, materials, records, and governance processes are managed with a high degree of professionalism, accuracy, and discretion.
Board & Governance Coordinator Responsibilities:- Coordinate and support Board and Committee meetings, including scheduling, logistics, agendas, meeting materials, and follow-up
- Prepare, compile, review, and distribute Board and Committee packages while managing multiple contributors and tight timelines
- Attend Board and Committee meetings and prepare accurate minutes, action items, and meeting records
- Maintain corporate minute books, governance records, policies, and related documentation
- Manage annual Board and Committee calendars and support governance planning activities
- Act as a key point of contact between Board members, Executive Leadership, and internal stakeholders
- Identify opportunities to improve governance processes, document management practices, and workflow efficiencies
- Support Board retreats, strategy sessions, annual governance activities, and special projects
- Travel as required to attend Board meetings, retreats, and governance-related events
The Successful Candidate Has:- 5+ years of experience supporting senior executives, Boards, Committees, or governance function
- Post-secondary education in Business Administration, Public Administration, or a related field is considered an asset
- Governance, Board Administration, Executive Support, or Project Management certifications/designations are considered assets
- Experience coordinating Board meetings, preparing Board materials, and maintaining governance records
- Advanced minute-taking skills and exceptional attention to detail
- Strong organizational, project coordination, and document management abilities
- Excellent communication and relationship-building skills with the ability to work confidently with senior leaders and Board members
- Strong judgment, discretion, professionalism, and a commitment to confidentiality
- Experience with Microsoft Office, AI, Teams, SharePoint, Diligent, or similar governance platforms is considered an asset
- Flexibility to work outside regular business hours during Board cycles and peak governance periods
- Ability and willingness to travel to Alberta and occasionally throughout Canada, and a valid passport, having the ability to travel for an annual Board or leadership event
Compensation and Benefits:- The discussed salary range is $85,000 – $90,000 depending on experience
