The
Active Living in the
Faculty of Kinesiology is currently seeking a Recurring Part-time
Mini University Assistant Coordinator.
The University of Calgary's Active Living department is one of the largest and most diverse recreation departments based on a North American campus. Active Living has a team of 40 full time and up to 600 part time staff. On an annual basis our staff handle 47,000 registrations in over 75 recreational and sporting activities, and provide facility access to over a million users to our facilities: North America's largest Outdoor Centre with climbing and bouldering walls, a gymnastics centre, an Olympic sized pool, a fitness centre with 200 m track, Canada's largest university racquet centre, five gymnasiums, and access to the Olympic Oval. The Outdoor Centre also provides its students and community over 16,000 outdoor equipment rental orders each year.
Active Living provides all these services to the students, staff and community while charging one of the lowest recreation fees in North America. Our mission is "To enrich lives by providing quality programming and educational experiences which promote and encourage lifelong active living for all."
The Mini University programs provide various types of programming to over 3,500 participants generating annual revenue of over $1,200,000.00 per year for Active Living programs. Coordinating the Mini University Program requires discretionary decision making about programs, staff supervision, resource allocation and resolution of customer complaints. The Assistant Coordinator works closely with the full time Mini University Coordinator to plan and execute decisions. Additional support to the University of Calgary Active Living department may be required during slower times in the Youth Programs or at peak times in other programs. This includes instructing, leading and coordinating other programs.
This position reports to the full time Mini University Program Coordinator. This position is part time, Monday to Friday for the months of September to April based on workload. From May to August the position requires 35 hours/week (7 hours per day Monday to Friday). Through joint agreement on necessary work, overtime may occasionally be required during summer weekends or evenings.
Summary of Key Responsibilities (job functions include but are not limited to):
- Assist under direction from the Outdoor Youth Program Coordinator in the hiring, training, and supervision of more than 40 seasonal staff
- Develop and update resources for staff and programs
- Book equipment, vehicles, and facilities for programs
- Provide administrative support to the Outdoor Youth Programs
- Assist under direction from the Outdoor Youth Program Coordinator in the organization and delivery of summer camps, off season camps, cross country skiing lessons, summer staff training, private and custom programs and school groups, and special events ( the KAN Adventure Race)
- Maintain the Outdoor Youth Program's equipment and resources
- Provide daily support for staff and campers throughout the summer and for off season programs
- Outdoor Youth Program administrative duties. This includes but is not limited to: scheduling, filing, data entry, delivering and collecting surveys, registrations, emails, phone calls, program resources, and reports
- Assisting with the day to day tasks of camp that arise. This includes but not limited to: staff support, running meetings, evaluating camps and staff, monitoring the field sign-in/sign-out, and conflict resolution
- Increase the sustainability of programming by critically reviewing the current programming and creating activities where sustainable supplies can be used
- Maintaining leader to camper ratios by occasionally replacing absent staff
Qualifications / Requirements:
- Enrolled in or completion of Bachelor's degree or Diploma in Education, Physical Education, Recreation Administration, Business Administration, Ecotourism and Outdoor Leadership, or other applicable education is an asset
- Certification in one or more outdoor activities
- Experience in the area of our programs (cycling, climbing, canoeing, longboarding, etc.)
- Experience in the area of program planning, budget management, education, and leadership for children and youth
- Class 4 Drivers License or the intent to obtain one
- Significant knowledge in the operations of the University of Calgary Youth Programs
- Knowledge of the University's core business systems, especially CSIS and PeopleSoft are essential
- Good working knowledge of MS Office applications, particularly EXCEL & WORD
- Strong administrative and organizational skills
- Strong work ethic applied to all duties
- Ability to work and think independently, creatively, and professionally
- Ability to make decisions independently and efficiently
