The
Department of Community Rehab Disability Study in the
Cumming School of Medicine invites applications for a
Student and Program Advisor, This Full-time Fixed Term position is for approximately 24 months (based on length of grant funding), with the possibility of extension.
Reporting to the Associate Dean, Undergraduate Health & Science Education (UHSE), the Student and Program Advisor is responsible for academic advising related to the Bachelor of Community Rehabilitation (BCR) program and performs various administrative tasks specific to student administration and program operations.
The work hours are 35 hours per week Monday to Friday (8:30 am - 4:30 pm), but there may be student engagement and recruitment events that require working outside regular business hours. Flexibility of hours may be required during peak times or in support of strategic initiatives. Some evening and weekend work is required, approximately 2-3 times per semester. The primary location of the work will be at the Foothills campus, with travel to the University of Calgary main campus 2-3 times per year.
Summary of Key Responsibilities (job functions include but are not limited to):
Student Advising and Administration
- Collaborate with the Program Director(s), and the Associate Dean (UHSE) on all aspects of student affairs, from registration to convocation, for the BCR program
- Provide accurate and comprehensive program and academic advising to prospective and current BCR students empathetically, including about degree requirements, course selection and academic planning considered according to individual circumstances
- Monitor student progress toward degree completion including all aspects related to academic review; including but not limited to unsuccessful second attempts, probation, requirement to withdraw, grade reappraisals, and Deans List standing
- Appropriately support students with special accommodations who require an alternate degree progression plan such as Varsity Athletes, and students registered with Student Accessibility Services
- Assist with the process for approving students for graduation ensuring that the graduation list is properly approved and submitted
- Provide accurate information about the BCR program to students, community, faculty, and other university staff
- Respond effectively to a high volume of email, in-person and virtual inquiries from a wide variety of sources, working to ensure inquiries are addressed in a timely and accurate manner and ensuring full coverage and service to students throughout peak periods
- Handle timetabling, exam scheduling, and grades, including advisory support to faculty instructors regarding course coordination and grade submissions
- Draft and distribute communications with updates and announcements regarding student affairs, academic advising issues, and deadlines. Important for students
- Maintain reports and data queries utilizing report building tools such as PeopleSoft Query, and PowerBI and present information in a clear and cohesive manner
- Supports the Associate Dean (UHSE) in making decisions related to undergraduate course management by pulling data from reporting systems and providing analysis
- Collaborate with the Associate Dean UHSE, Program Directors and Program Coordinator to identify needs and build supports for BCR students
Program Support
- Collaborate with the Program Coordinator to recommend and initiate change to improve the student administration operations for the BCR program
- Collaborate with the Associate Dean (UHSE) and Program Director(s) on admission processes, including equitable admission pathways and block transfers
- Work closely with other post-secondary institutions on approving, updating and implementing block transfer agreements for the BCR program
- Contribute to the planning, organization, and implementation of program and recruitment events
- Support exams, course evaluations and grade submissions
- Keeps the Associate Dean (UHSE) and Program Director(s) informed of critical information related to student affairs that may impact the program's decision-making process
- Liaises with various faculties and units across the university to facilitate implementation of student administration and business processes
- Maintain accurate, organized digital and physical files in compliance with institutional data privacy policies
- Assist with annual events, including but not limited to First-Year Orientation, UCalgary Open House, and the convocation reception
- Other related accountabilities may be assigned as operationally required by the Associate Dean (UHSE) and Program Director(s)
Qualifications / Requirements:
- A four-year undergraduate bachelor's degree is required
- Minimum three years of experience in student or program administration
- Minimum four years experience in academic student advising in a university setting
- Strong organizational and time-management skills
- Proven ability to manage data tracking, file organization, report preparation and data analysis
- Advanced computer skills including MS Office Suite (including Word, Outlook, PowerPoint, and a high level of expertise in Excel)
- Experience with Banner or PeopleSoft (Student Administration), SharePoint, PowerBI and Qualtrics
- Excellent verbal and written communication skills. The ability to triage inquiries and draft professional email correspondence without direct supervision is required
- Demonstrated ability to handle sensitive student information with high confidentiality and discretion
- Ability to work effectively in a diverse team environment
- Demonstrated ability to work independently using initiative, exercising good judgment and decision-making skills is essential
- Knowledge of university and faculty regulations, policies and procedures at the undergraduate level is required
- High level of accuracy and strong attention to detail are essential
- Ability to build relationships to accomplish program goals with diverse groups within and outside the Cumming School of Medicine
- Demonstrated ability to create and contribute to a positive and supportive environment for students
