Job Summary
The Officer, Operations and Stewardship provides operational support to the Relationship and Fund Development team through the coordination of fundraising administration, donor stewardship, gift processing, advancement systems, communications, and operational activities that support the University's fundraising priorities. The position is responsible for administering gift processing, maintaining the integrity of donor information within Raiser's Edge NXT (RE NXT), coordinating fundraising operations, preparing reports and donor communications, supporting stewardship initiatives, and providing operational and logistical support for fundraising activities and events. Working collaboratively with internal departments and external stakeholders, the incumbent contributes to the efficient delivery of fundraising services and positive donor experiences. As a front-line representative of Relationship and Fund Development, the Officer responds to donor, alumni, and community inquiries, provides professional customer service, and supports donor engagement through responsive communication and effective operational coordination.
Qualifications
- Diploma in Business Administration, Office Administration, Fundraising Management, Public Administration, Philanthropy, or another related discipline from a recognized post-secondary institution. An equivalent combination of education and directly related advancement operations or fundraising administration experience may be considered. A bachelor's degree is considered an asset.
- Minimum three (3) years of progressively responsible experience in advancement operations, fundraising administration, donor information management, donor stewardship, gift administration, or a comparable advancement, alumni relations, or development environment, preferably within a post-secondary institution or not-for-profit organization.
- Demonstrated experience using Raiser's Edge NXT or a comparable fundraising CRM/database.
- Experience supporting gift administration, donor stewardship, financial processes, and data management.
- Demonstrated intermediate to advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, Teams, and reporting tools.
- Experience with fundraising communications, email marketing platforms, event management systems, or online giving platforms is an asset.
- Experience using project management software such as Wrike an asset.
- Exceptional verbal and written communication skills, including the ability to communicate clearly, professionally, and diplomatically by telephone, email, and in person with donors, alumni, volunteers, senior university leaders, and community members.
- Strong analytical, problem-solving, and attention-to-detail skills.
- Demonstrated ability to manage multiple priorities while maintaining accuracy and confidentiality.
- Demonstrated experience providing professional customer service in a role requiring frequent verbal communication and relationship management.
- Demonstrated ability to actively listen, accurately interpret verbal instructions and stakeholder requests, and communicate information clearly and accurately with minimal supervision.
- Demonstrated ability to prepare, edit, and proofread correspondence while ensuring accuracy, clarity, tone, and consistency.
- Demonstrated ability to exercise sound judgment when responding to inquiries and representing the University.
- Excellent interpersonal skills with the ability to build productive relationships across the University and with external partners.
- Ability to work independently while contributing effectively within a collaborative team environment.
