Operations & Quality Lead
The Operations & Quality Lead is responsible for quality, inventory accuracy, and regulatory compliance at VP’s Moncton warehouse. This role supervises assigned warehouse employees, coordinates daily work and ensures clinic and e-commerce orders are completed accurately, efficiently, safely and on time.
Additionally, this position leads vault order processing, returns, cycle counting and operational document management, while working closely with the Regulatory department to ensure site activities follow approved procedures and applicable requirements. The role also works with Purchasing, Customer Experience and other departments to resolve inventory, quality and operational issues.
The employee is expected to qualify for and, once designated and approved as required, serve as a site Alternative Qualified Person in Charge (A/QPIC) for licensed controlled substance activities. Essential Duties and Responsibilities
Operations
- Assign, monitor, and participate in receiving, put away, replenishment, picking, verification, packing, and shipping activities to meet daily operational goals.
- Coordinate customer and supplier returns, including documentation, inventory adjustments, disposition, and communication with Regulatory, Purchasing, and other departments as appropriate.
- Plan and perform cycle counts, investigate variances, document findings, and help correct the causes of inventory discrepancies.
- Maintain controlled operational documents and records so current versions are available, complete, accurate, and retained appropriately.
- Support the creation, review, training, and implementation of site-specific SOPs and work instructions with Regulatory and Operations.
- Lead, coach, train, support, and evaluate assigned warehouse employees; provide constructive feedback and recognition.
- Work with Customer Experience to investigate customer complaints and order corrections, document findings, resolve operational issues, and identify recurring causes.
- Escalate suspected compliance issues, losses, discrepancies, product quality concerns, or process failures promptly to the Warehouse Manager and Regulatory department.
- Listen to and document employee concerns, incidents, and improvement ideas.
- Address and communicate policy infractions and support corrective action as required.
- Complete other duties and participate in special projects as assigned.
Regulatory Compliance:
- Work closely with Regulatory to confirm that site operations, controlled substance activities, records, and product handling comply with current requirements.
- Responsible for understanding, applying and monitoring the pharmaceutical quality system, including SOPs, at the Moncton facility.
- Complete quarterly warehouse walkthroughs, document findings and corrective actions, and follow up with the responsible teams.
- Draft and Maintain Quality Records in collaboration with Head Office (e.g. Deviations, Change Controls, Product Quality Complaints).
- Aid in the Investigation of Non-Conformances. Identify and execute corrective and preventative action.
- Support the review of SOPs for Interdepartmental and Cross-facility accuracy.
- Oversee site specific tracking of Quality System’s timelines/deadlines.
- Support the preparation and execution of Qualification and Validation documents and activities.
Controlled Substance and Precursor (A/QPIC + A/RPIC, where applicable)
- Receive, reconcile, document, and put away controlled substances in the vault; maintain accurate records and secure access in accordance with the site licence and SOPs.
- Process and/or oversee controlled substances and precursor orders.
- Assist with the inventory control of controlled substances and precursors.
- Assist with the monitoring of transactions involving controlled substances.
- Assist with monitoring the illicit value of controlled drug substances held at the facility relative to the Security Directive.
- Perform daily and monthly physical inventory of all narcotic and controlled drugs and precursor items and maintain appropriate records.
- Maintain order records with scripts submitted from practices, and shipping documentation as relevant, for inspection by Health Canada.
- Assist with the preparation and submission of monthly and annual sales reports of all controlled drugs and narcotics listed in Schedules I-VIII of the Controlled Drugs and Substances Act, and of all precursor items.
- Assist with reporting to the Office of Controlled Substances any losses or theft of narcotic and/or controlled drugs as specified in the regulations, when applicable.
- Respond to inquiries (written and verbal) from the Office of Controlled Substances and Health Canada Inspectors, when applicable.
- Ensure that prior to processing and delivery of a controlled substance, the requested order with respect to signed, verbal and electronic ordering device, is in compliance with the corresponding regulations.
Health & Safety:
- Work in compliance with applicable New Brunswick occupational health and safety requirements and VP procedures.
- Follow safe handling and security procedures for regulated products and controlled substances, including applicable SDS/MSDS information.
- Identify and report unsafe acts, equipment concerns, hazards, spills, and damaged inventory; support incident investigations and corrective actions.
- Use required personal protective equipment and support emergency response and evacuation procedures.
- Promote and support safe work practices and help ensure employees use equipment and personal protective equipment properly.
- Help ensure machinery, equipment, and work areas are safe and maintained appropriately.
- Identify, correct, and report unsafe acts, conditions, and hazards.
- Assist with incident documentation and investigations.
- Support emergency response and evacuation procedures when required.
Good Manufacturing Practices (GMP):
- Follows and understands all relevant Standard Operating Procedures (SOPs) with respect to Good Manufacturing Practices and applicable site quality requirements

Skills and Knowledge Required
- Post-secondary education in a relevant field (e.g. Bachelor of Science) or equivalent.
- Experience in regulated distribution, quality assurance, inventory control, or warehouse operations considered an asset.
- Leadership, coaching, training, or supervisory experience considered an asset.
- Strong attention to detail, record keeping, document control, and ability to investigate discrepancies and complaints.
- Strong written and verbal communication, sound judgment, organization, and ability to work in a cross functional capacity.
- Ability to learn all warehouse processes and use warehouse systems and Microsoft Office programs.
- Forklift and EPT certification required or willingness to complete company training and certification.
Schedule and Hours of Work
- Sunday to Thursday, 40 hours per week

Compensation
$54,688.00 - $78,125.00
NOTE: Salary will be determined based on the successful applicant's experience and qualifications.
