Position Summary:
Wasauksing First Nation is accepting applications for a Housing Assistant. This is a full-time position responsible for providing administrative, program, and operational support to the Housing Department. Reporting to the Housing Supervisor, the Housing Assistant assists with delivering housing programs and services, maintains accurate
records, supports housing applications and tenant files, coordinates communications with tenants and contractors, and assists with housing inspections and project administration. The Housing Assistant plays an important role in ensuring the efficient delivery of housing services while supporting the goals and objectives of Wasauksing First Nation. The position requires a high degree of professionalism, confidentiality, organization, and customer service.
Job Duties & Responsibilities:
Housing Administration
- Assist with the administration of all housing programs, including rental housing, homeowner assistance programs, renovation programs, and new housing initiatives.
- Receive, process, and maintain housing applications and supporting documentation.
- Maintain accurate tenant, homeowner, and applicant files in both electronic and paper formats.
- Track housing applications, waitlists, inspections, maintenance requests, and program participation.
- Prepare correspondence, notices, reports, meeting materials, etc.
- Assist in maintaining the Housing Management System (HMS) and ensure information is current and accurate.
- Schedule appointments, inspections, meetings, and housing committee activities as required.
- Assist with preparing housing reports for Chief and Council, CMHC, Indigenous Services Canada, and other funding agencies
- Maintain records of tenant agreements, occupancy agreements, inspections, maintenance requests, and program funding.
Tenant and Client Services
- Serve as a point of contact for housing applicants, tenants, homeowners, and community members.
- Respond to inquiries regarding housing programs, policies, procedures, etc.
- Assist tenants and homeowners in completing forms and documentation.
- Coordinate communication between staff, tenants, and contractors.
- Maintain professional and respectful relationships with community members.
- Assist in coordinating move-ins, move-outs, and occupancy documentation.
Maintenance and Inspection Support
- Receive and track maintenance requests and work orders.
- Coordinate maintenance scheduling.
- Assist with housing inspections; document findings, deficiencies, and actions.
- Maintain maintenance records, reports, photos, and documents.
- Monitor and follow up of maintenance requests.
Financial and Project Support
- Assist with the preparation and tracking of purchase orders, invoices, etc.
- Maintain records regarding; housing expenditures, budgets, and funding.
- Assist in gathering information for reports, audits, and funding submissions.
- Maintain documentation for construction, renovation, and repair projects.
- Assist with procurement processes and obtaining quotations.
General Duties
- Maintain confidentiality of all tenant, applicant, and departmental information.
- Attend meetings, training , and professional development as required.
- Assist with community engagement activities related to housing programs.
- Support implementation of housing policies, procedures, and strategy.
- Perform other duties as assigned by the Housing Supervisor or Director of Public Works.
Education & Experience:
- Minimum two (2) years of administrative experience, preferably in housing, public administration, property management, or a related field.
- Experience working with Indigenous communities and programs is considered an asset.
- Knowledge of CMHC housing programs, Indigenous housing programs, and housing administration practices is considered an asset.
- Ability to speak, read and understand Anishnaabemowin (Ojibway Language) is an asset
Other Requirements:
- Strong computer skills including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience maintaining databases, records management systems, and electronic filing systems.
- Ability to prepare reports, correspondence, spreadsheets, and meeting materials.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.

- Awareness of cultural sensitivity and respect for Wasauksing First Nation community values.
- Knowledge of Ojibway language and culture is considered an asset.
- Must possess a valid Class G driver's license.
- This position requires the individual to work with various families, youth and children. To protect children, youth and vulnerable persons, Wasauksing First Nation requires the individual to provide a vulnerable sector. Or criminal record check
