The opportunity:
Reporting to the Senior Wealth Advisor & Senior Investment Advisor on the Kimpton Kovitch Team, the Associate will participate in a broad range of administrative, operational projects and business development activities to support the efficient and successful operations of the team. The role will support a high-growth advisory team with a strong focus on operations, trade processing, account administration, and process efficiency.
Key responsibilities include:
- Supporting advisors and licensed team members with the execution and processing of trades and other investment-related transactions in accordance with client instructions, regulatory requirements, and firm policies.
- Processing client instructions related to purchases, redemptions, transfers, deposits, withdrawals, and other account activity, ensuring accuracy and timely completion.
- Preparing and reviewing documentation required to facilitate trade execution, account administration, and client transactions.
- Supporting the administration of client accounts, including account openings, account maintenance, transfers, documentation collection, and record updates.
- Maintaining accurate and current client information across CRM and other firm systems, ensuring data integrity and completeness.
- Monitoring workflow queues and prioritize requests to ensure client instructions, trades, and administrative activities are completed within established service standards.
- Coordinating with internal departments, custodians, and external service providers to facilitate account activity and resolve operational issues.
- Preparing reports, correspondence, and administrative materials to support the day-to-day operations of the practice.
- Contributing to process improvement initiatives by identifying opportunities to increase efficiency, leverage technology, and enhance automated workflows.
- Remaining current on firm policies, procedures, compliance requirements, and industry developments relevant to the role.
- Performing other duties and projects, as assigned.
The ideal candidate will possess:
- A post-secondary degree in business administration, accounting, finance or related field, or equivalent work experience.
- 1 - 3 financial services industry experience working in a high growth environment.
- Equivalent combination of education and experience may be considered.
- Experience in the wealth management or other regulated industry is a strong asset.
- Current Investment Representative (IR) registration or equivalent industry licensing is considered a strong asset.
- Candidates who are not currently licensed but demonstrate an interest in pursuing IR registration or other industry licensing will be supported as part of their ongoing professional development.
- Proficiency with the MSOffice suite, including Word, Excel, Powerpoint, Teams, and Outlook.
- Exceptional attention to detail and commitment to accuracy.
- Highly dependable with a strong sense of accountability and ownership.
- Demonstrated ability to manage multiple priorities and effectively assess urgency.
- Strong organizational and administrative skills.
- Comfortable working within structured processes while adapting to changing priorities.
- Proactive, forward-thinking mindset with an interest in continuous improvement and operational efficiency.
- Strong aptitude for technology and enthusiasm for working in a highly automated environment.
- Ability to quickly learn systems, procedures, and industry requirements.
- Effective written and verbal communication skills.
