Our client in Durham Region is seeking an experienced Administrative Assistant to support their leadership team on a six month contract. In this role, you will provide comprehensive administrative support to senior leadership, coordinate key business activities, and help ensure the smooth and efficient operation of the office. Key Responsibilities
- Prepare, compose, and distribute a variety of routine and confidential correspondence, reports, presentations, and other business documents.
- Coordinate and organize meetings, including scheduling, agenda preparation, meeting materials, and follow-up activities.
- Arrange and manage travel logistics, accommodations, and itineraries for leadership and staff as required.
- Manage incoming and outgoing correspondence, including confidential materials, and prioritize items requiring executive attention.
- Maintain complex calendars, schedule appointments, and coordinate competing priorities on behalf of leadership.
- Serve as a key point of contact between leadership and internal/external stakeholders, ensuring effective communication and information flow.
- Establish, maintain, and manage records and filing systems in accordance with document retention policies and procedures.
- Prepare and process routine reports, forms, purchase orders, and requisitions.
- Monitor deadlines, track action items, and maintain follow-up systems to ensure timely completion of tasks and deliverables.
- Provide administrative backup support and contribute to the overall efficiency of the office environment.
Qualifications
- Proven experience as an Administrative Assistant, Senior Administrative Assistant, or in a similar support role.
- Advanced proficiency with Microsoft Office Suite, including PowerPoint, Excel, Outlook, and Adobe Acrobat.
- Exceptional organizational, planning, and time management skills, with the ability to manage multiple priorities simultaneously.
- Strong verbal and written communication skills with a professional and polished approach.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Excellent attention to detail and strong problem-solving capabilities.
- Experience coordinating meetings, events, executive calendars, and travel arrangements.
- Proven ability to build effective working relationships and liaise with leaders, employees, and external stakeholders.
- Self-motivated and adaptable, with the ability to thrive in a fast-paced and dynamic environment.
