Office Administrator

Employment Type: Full-Time, In-Office

Location: Parry Sound, Ontario

Compensation: $23–$29 per hour, depending on experience

About Us

For over 30 years, Eagle Aircraft has been a trusted name in the aviation community, specializing in aircraft avionics and maintenance/repair. Three decades in, we're still growing and still just as passionate about keeping pilots flying safely. We're looking for an organized, detail-oriented Office Administrator to join our team and help keep our office running smoothly as we continue to grow.

The Role

We are seeking an Office Administrator with a minimum of 5 years of experience running an office. This is a hands-on role for someone who thrives on staying organized, juggling multiple priorities, and keeping the day-to-day operations of a busy office on track.

Key Responsibilities

Duties will include, but are not limited to:

Answering phones and serving as the first point of contact for customers, pilots, and vendors, directing calls and inquiries to the appropriate team member
Bookkeeping, including maintaining accurate financial records, entering transactions, and supporting day-to-day accounting tasks
Assisting with placing vendor orders for parts, tools, and supplies, including tracking order status and following up on deliveries
Preparing and issuing customer invoices for completed avionics and maintenance/repair work, ensuring accuracy and timely delivery
Filing and record-keeping maintenance, including organizing and maintaining physical and digital files such as work orders, aircraft maintenance records, and customer documentation
Managing Accounts Receivable and Accounts Payable, including tracking incoming payments, following up on outstanding invoices, processing vendor payments, and keeping AR/AP records up to date

Qualifications

Minimum 5 years of experience running or administering an office
Strong organizational skills and high attention to detail
Experience with bookkeeping and accounts receivable/payable processes
Comfortable managing multiple priorities in a fast-paced environment
Strong verbal and written communication skills
Proficiency with standard office and accounting software
