Position Overview
The Government of Nova Scotia is seeking a
Clerk 2 (ADM03) to provide data entry and administrative support as part of the deployment of a new online database system (
AMS).
The successful candidate will assist with entering client information that was not transferred during the migration from the Agency's legacy system to AMS. The position will also support the reissuance of approximately
12,000 Certificates of Qualification and ID cards following the removal of the requirement for tradespeople in compulsory trades to renew their certification every five years.
This role is well suited to an organized and detail-oriented administrative professional with strong data entry, document handling, and customer service skills.
Key Responsibilities
- Enter client and certification information accurately into the Agency's new AMS online database system.
- Review and process information that was not successfully transferred during the legacy-system data migration.
- Support the reissuance of approximately 12,000 Certificates of Qualification and identification cards.
- Review information for accuracy, completeness, and consistency before entering or processing records.
- Perform administrative support activities in accordance with established procedures, methods, acts, rules, and regulations.
- Prepare, organize, and file correspondence and administrative documentation.
- Maintain accurate and organized electronic and/or physical records.
- Respond to inquiries by telephone and in person and provide appropriate administrative assistance.
- Prepare expense claims and related documentation as required.
- Maintain office supply inventory and petty cash records, where applicable.
- Distribute inter-office mail and other documents.
- Follow established departmental processes, policies, procedures, and regulatory requirements.
- Exercise sound judgment when selecting the appropriate method for completing assigned administrative tasks.
- Perform other clerical and administrative duties as assigned.
Requirements
Mandatory Qualifications & Skills
Candidates must meet the following minimum requirements:
- Grade XI education plus two (2) years of related experience, OR
- An equivalent combination of training and experience.
- Previous experience performing clerical, administrative, or data-entry duties.
- Ability to work with established methods, procedures, acts, rules, and regulations.
- Strong attention to detail and accuracy when entering and processing information.
- Ability to organize, maintain, and retrieve records and documentation.
- Strong written and verbal communication skills.
- Ability to respond professionally to telephone and in-person inquiries.
- Ability to work independently under general supervision.
- Demonstrated judgment in selecting appropriate work methods and applying established procedures.
- Strong organizational and time-management skills.
- Ability to handle repetitive data-entry and administrative tasks while maintaining accuracy and productivity.
Preferred Experience
The following experience would be considered an asset:
- Experience with database systems or online information-management systems.
- Experience with data migration, data cleanup, or record validation.
- Experience processing large volumes of records or documents.
- Government, regulatory, licensing, certification, or public-sector administrative experience.
- Experience handling confidential or client-related information.
- Experience with document filing, records management, and administrative processing.
