SMS Equipment is seeking an organized and detail-oriented Travel and Site Coordinator to provide administrative support services for the service functions within our mining branches. In this role, you will support hourly travel arrangements, accommodations, site orientations, onboarding processes, forecasting, reporting, data gathering, and other mining branch administration duties as required.
Working closely with Field Supervisors, Human Resources, vendors, admin support, and employees, you will help keep administrative processes accurate, timely, and well organized while supporting day-to-day operations in a busy office environment.
Work Location: Acheson, AB
Salary: $55,000 - $65,000 per annum, based on experience
Work Arrangement: Hybrid, working remotely up to two days per week
Schedule: Monday – Friday, 7:00 am – 3:30 pm
What You'll Do
- Coordinate and book employee travel to customer sites in partnership with Field Supervisors.
- Arrange and track accommodation bookings and applicable travel details.
- Liaise with external travel vendors and internal stakeholders regarding rentals and rate agreements.
- Train and support Admin and Site Coordinator on site-specific travel and employee onboarding processes.
- Maintain accurate work instructions and process documentation for travel coordination and onboarding.
- Coordinate with Human Resources and Field Supervisors to introduce hourly new hires to required processes and information.
- Prepare monthly and yearly site-specific travel forecasting reports.
- Complete reporting, data gathering, and analysis as requested.
- Participate in weekly and monthly meetings with Field Supervisors to gather travel data and information.

You are a highly organized administrative professional who can coordinate travel, accommodations, onboarding support, reporting, and day-to-day administrative priorities. You bring strong attention to detail, sound judgment, planning skills, and the ability to support internal and external stakeholders professionally.
Additional qualifications include:
- High School Diploma and Office Administration Certificate.
- 2+ years of administrative experience in service, clerical, recordkeeping, or related duties.
Nice to Haves:
- Previous experience with remote travel coordination
- Advanced Microsoft 365 skills.
