Are you an organized and resourceful administrative professional who thrives in a busy, team-oriented environment? Squamish Nation is seeking an Administrative Officer to join the Ayás Ménmen Child & Family Support Services Department within Nexwnínlhewá7nem Ch'áwch’aw People Services.
In this important role, you will provide administrative support to Child & Family Support teams, helping ensure the day-to-day administrative needs of Case Management and Social Workers are coordinated effectively. As a key point of contact for the Case Management teams, you will support everything from scheduling, documentation, filing, and financial administration to caseload tracking, contracts, agreements, and client records. Your organization, attention to detail, and ability to manage competing priorities will help support the department in providing services to Squamish Nation children and families.
What You’ll Do
- Provides general administrative and clerical support to teams and programs across Child & Family Support Services.
- Coordinates day-to-day administrative activities, including filing, documentation, meeting notes, bookkeeping, scheduling, and other office support.
- Processes invoices, tracks receipts and expenses, completes financial reconciliations, and works collaboratively with the Finance Department.
- Provides reception coverage as needed, including answering and directing phone calls, responding to emails and inquiries, and relaying messages to team members.
Serves as a key administrative support for Case Social Worker teams, manages incoming administrative requests, and prioritizes tasks based on urgency.
Maintains and updates Social Worker caseload lists and supports Managers in ensuring information remains accurate and current.
Prepares correspondence, maintains electronic and physical files, uploads documentation to appropriate systems, and supports accurate program and client recordkeeping.
Tracks contracts, support service agreements, important dates, and other administrative requirements to help ensure deadlines are met.
Supports delegated Integrated Case Management (ICM) system requirements and maintains detailed administrative information and tracking.
Provides on-site technical support to staff, liaises with the Squamish Nation IT Department, and maintains inventory of electronic and office equipment.
Contributes collaboratively to the Child & Family Services team and supports community events and other departmental activities as required.
What We’re Looking For
Post-secondary education in Administration or a relevant field from a recognized institution. Education related to Social Work or Child and Family Services is an asset.
3 to 4 years of directly related experience in areas such as office administration, forms management, correspondence and word processing, senior-level administrative support, research, supporting Social Workers, and/or working with children and families.
Experience working in a field related to Social Work or Child and Family Services is an asset.
Strong organizational and time-management skills, with the ability to manage priorities, maintain detailed records, and work resourcefully in a busy environment.
Strong interpersonal and communication skills, with a professional and adaptable communication style and the ability to communicate complex information with tact and diplomacy.
High level of emotional intelligence, patience, integrity, confidentiality, and the ability to remain composed in high-pressure situations.
Intermediate-level proficiency with Microsoft Office and internet applications, along with experience working with a large-scale computerized database system. Experience with JD Edwards is an asset.
Valid BC Class 4 or 5 Driver’s Licence (Class 7N may be considered), with access to a reliable vehicle and current auto insurance that meets company policy.
Ability to work evenings and weekends as required, occasionally with limited advance notice.

Salary: $53,788 - $67,235
Candidates are typically offered compensation between the beginning to the midpoint of the range. We are committed to providing a fair and equitable package that reflects the value an individual brings to the organization.
