WSG delivers specialized construction, commissioning, maintenance, and project support services to major industrial and energy projects across Canada and internationally. We are currently seeking a highly organized and detail-oriented Document Controller & LEM Coordinator to support project execution, turnover, and records management activities for the Woodfibre LNG Project.
Position Summary
The WSG Document Controller & LEM Coordinator is responsible for maintaining accurate, complete, and auditable project records throughout the lifecycle of the work. This role controls document submissions, daily reports, test records, Lessons Learned Events (LEMs), equipment registers, turnover documentation, and final dossier compilation.
The successful candidate will ensure all project records are processed, indexed, reviewed, and transmitted in accordance with project requirements, meeting all contractual submission deadlines while preventing documentation backlogs that could impact project progress, testing activities, or final turnover.
Key Responsibilities
- Control and manage all WSG project documentation and records.
- Maintain document control systems, registers, and tracking logs.
- Process incoming and outgoing document transmittals.
- Coordinate submission of daily reports, field reports, and project records.
- Maintain testing records, inspection reports, certificates, and turnover documentation.
- Manage Lessons Learned Events (LEMs) and maintain associated registers.
- Maintain equipment, asset, and testing registers.
- Ensure document revisions are accurately controlled and distributed.
- Verify documentation quality, completeness, and compliance with project requirements.
- Support field teams, supervisors, engineering, quality, and commissioning personnel with document management requirements.
- Compile and maintain turnover dossiers and final project records.
- Develop and maintain final dossier indexes and document structures.
- Track contractual deliverables and ensure submission deadlines are achieved.
- Identify and resolve documentation gaps, discrepancies, and overdue records.
- Generate status reports and KPI metrics related to document control and turnover performance.
- Support audits, inspections, and client documentation reviews.
Qualifications
- Diploma or Certificate in Business Administration, Engineering Technology, Project Management, or a related discipline.
- Minimum 3-5 years of document control experience on industrial construction, commissioning, or energy projects.
- Strong understanding of document control processes and turnover requirements.
- Experience managing large document volumes in a fast-paced project environment.
- Excellent organizational and records management skills.
- High attention to detail and accuracy.
- Advanced proficiency with Microsoft Office, particularly Excel.
- Experience using electronic document management systems (EDMS).
- Strong communication and stakeholder coordination skills.
Preferred Experience
- LNG, oil & gas, mining, or major industrial project experience.
- Experience supporting mechanical completion and commissioning teams.
- Knowledge of turnover and handover processes.
- Experience managing testing and quality records.
- Familiarity with MDR, Kiewit, Woodfibre LNG, or similar project documentation requirements.
- Previous experience compiling final turnover dossiers and project closeout documentation.
