Branch Administrator
Location: Langford & Duncan, BC

Schedule: Monday to Friday, 8:00 AM to 4:30 PM
Work Arrangement: Onsite
Compensation: $28.00 to $30.00 per hour
About the Opportunity
We are seeking a detail-oriented and customer-focused Branch Administrator to support our Langford and Duncan locations. This entry-level administrative role is ideal for someone who enjoys working in a fast-paced office environment and takes pride in providing exceptional customer service and administrative support.
As the first point of contact for customers, vendors, and dealership personnel, you will play a key role in ensuring branch operations run efficiently. The successful candidate will possess excellent communication skills, strong organizational abilities, and a proactive approach to supporting multiple departments.
Key Responsibilities
Front Desk & Reception
- Operate the dealership switchboard and manage incoming calls through the Zoom phone system.
- Welcome customers and visitors, answer general inquiries, and direct them to the appropriate personnel.
- Open, sort, and distribute incoming mail and prepare outgoing mail.
- Receive and distribute incoming faxes and courier deliveries.
- Coordinate courier services for incoming and outgoing shipments.
- Order and maintain office supplies on a regular basis.
- Post holiday hour signage as required.
- Act as the primary contact for building and maintenance vendors, including janitorial, landscaping, coffee services, and security providers.
- Communicate urgent facility issues to management and maintain accurate contractor contact lists.
Administrative Support
Support various departments with administrative duties, including:
Parts & Service
- Filing, scanning, and document management.
- Data entry and customer correspondence by mail or email.
Accounts Payable
- Filing and scanning documents.
- Entering debit and credit memos into internal systems.
Accounts Receivable
- Processing customer payments for walk-in transactions and phone payments.
- Ensuring payment documentation is completed accurately and in accordance with company procedures.
General Administration
- Provide additional administrative support and complete other duties as assigned.
Operational & Elite Support
- Support dealership 5S and continuous improvement initiatives.
- Complete daily operational tasks and maintain workplace standards.
- Ensure reception and customer lounge areas remain clean, organized, and welcoming.
- Maintain customer amenities such as coffee and refreshments.
- Participate in ongoing training programs and support branch initiatives.
Qualifications
Required
- High school diploma or equivalent.
- 1 to 2 years of experience in an administrative, receptionist, customer service, or office support role.
- Professional telephone etiquette and excellent interpersonal skills.
- Proficiency with Microsoft Office, including Word and Outlook.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and multitask effectively in a busy office environment.
- Reliable, punctual, and capable of handling confidential information with discretion.
- Familiarity with general office equipment, including scanners, copiers, fax machines, and postage systems.
Assets
- Experience using Microsoft Excel.
- Experience with Zoom Phone or other business communication platforms.
- Previous experience in a dealership, service, or industrial environment.
