About The Role
We are seeking a highly organized and detail-oriented Administrative Clerk specializing in Purchasing and Procurement to support our procurement department at a key client site in the mining sector located in Brossard. This role is vital in ensuring the smooth operation of procurement activities, maintaining data integrity, and fostering efficient communication between suppliers and internal teams. Reporting directly to the Purchasing Manager, the successful candidate will be responsible for managing purchase requisitions, tracking orders, maintaining procurement documentation, and assisting with inventory management. Qualifications
The ideal candidate will possess a combination of relevant education, professional experience, and technical skills, including:
- A Diploma of Vocational Studies (DEP) in Secretarial Studies, Accounting, Administration, or a related field.
- Between 2 to 5 years of experience in an administrative role, ideally within purchasing, procurement, logistics, or inventory management.
- Experience working in industrial, mining, manufacturing, or construction environments is considered an asset.
- Proficiency in Microsoft Office Suite, especially Excel, to manage data and generate reports effectively.
- Experience with ERP systems such as SAP, Oracle, JDE, Dynamics, or similar platforms is highly desirable.
- Functional knowledge of English is an asset, facilitating communication with international suppliers and internal teams.
Responsibilities
The core responsibilities of this role include, but are not limited to:
- Receiving, verifying, and processing purchase requisitions from various departments to ensure timely procurement activities.
- Creating, updating, and tracking purchase orders within the management system to ensure accuracy and transparency.
- Following up with suppliers to confirm delivery schedules, quotations, and order confirmations, ensuring adherence to timelines.
- Verifying the accuracy of purchasing data, maintaining up-to-date records in procurement databases, and ensuring data integrity.
- Assisting with inventory management tasks, including reporting discrepancies and identifying replenishment needs to prevent stock shortages.
- Maintaining organized electronic and physical files of procurement documents for easy retrieval and audit purposes.
- Participating in goods receipt processing, validating related documentation, and reconciling purchase orders, goods receipts, and invoices for accuracy.
- Preparing administrative reports, tracking indicators, and providing updates to management on procurement activities.
- Responding promptly to information requests from suppliers and internal teams, facilitating smooth communication channels.
- Contributing to the continuous improvement of procurement administrative processes by identifying efficiencies and implementing best practices.
