About The Role
We are seeking a highly organized and detail-oriented Payroll Specialist to join our dynamic team. Reporting directly to the Vice President of Finance and collaborating closely with the Director of Human Resources, this role is pivotal in managing the complete payroll cycle for multiple entities within the organization. The ideal candidate will possess a deep understanding of payroll processes, legal compliance, and employee benefits administration. This position offers an excellent opportunity to contribute to a growing organization by ensuring accurate and timely payroll processing, maintaining compliance with legal standards, and supporting continuous improvement initiatives. The Payroll Specialist will serve as the primary point of contact for payroll-related inquiries and will play a key role in maintaining the integrity of payroll data across various departments and locations.
Qualifications
The successful candidate will meet the following criteria:
- Possession of a Payroll Compliance Professional (PCP) certification is considered a strong asset.
- A degree in administration, accounting, or a related field.
- Minimum of 5 years of payroll experience, preferably within a multi-company and multi-province environment.
- Bilingual proficiency in English and French is mandatory.
- Comprehensive knowledge of labor laws and payroll standards across Québec and other Canadian provinces.
- Proficiency with payroll software such as EmployeurD, Dayforce, Nethris, or ADP.
- Advanced skills in Microsoft Office, particularly Excel.
- Strong attention to detail, autonomy, and high discretion in handling confidential information.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
Responsibilities
The Payroll Specialist will be responsible for a broad range of duties, including but not limited to:
- Managing the full payroll cycle for hourly and salaried employees across multiple pay periods, ensuring accuracy and timeliness.
- Compiling, verifying, and transmitting payroll data, and ensuring compliance with legal and internal policies.
- Maintaining and updating employee records, including managing file openings and closures.
- Processing garnishments, wage seizures, ROEs, salary adjustments, terminations, and leaves of absence.
- Handling source deductions, remitting government contributions, and preparing year-end legal documentation.
- Responding to government inquiries and ensuring all legal obligations are met.
- Administering employee benefits such as vacations, holidays, sick leave, bonuses, allowances, and leave banks.
- Collaborating with HR on employee absences, new hires, and terminations to ensure seamless payroll integration.
- Validating invoices related to group insurance, RRSPs, and pension plans, and participating in meetings with benefits providers.
- Preparing payroll-related journal entries, supporting month-end and year-end closing processes, and producing analytical reports for HR, Finance, and Management.
- Serving as the primary contact for payroll-related questions and contributing to the ongoing improvement of payroll processes and tools.
