We are looking for a Payroll & Benefits Administrator to support accurate payroll delivery and effective benefits coordination for a social services organization in Burlington, Ontario. This position plays an important role in maintaining employee records, meeting reporting obligations, and ensuring staff receive timely support with payroll and benefits matters. The successful candidate will work closely with internal teams and external providers while upholding confidentiality, compliance, and data accuracy.
Responsibilities:
- Administer end-to-end payroll for hourly and salaried team members using the organization’s human capital management platform.
- Maintain payroll system settings and employee pay records, ensuring timesheets are properly configured, submitted, and approved by leaders.
- Prepare and issue payroll documentation such as Records of Employment, tax slips, and other legislated forms in accordance with applicable requirements.
- Complete payroll reconciliations and statutory remittances on a monthly, quarterly, and year-end basis within required deadlines.
- Investigate payroll questions and discrepancies, resolve issues promptly, and update records to prevent recurring errors.
- Oversee benefits administration activities, including enrolments, status changes, terminations, and ongoing employee updates.
- Coordinate savings plan contributions and work with external service partners to manage enrolment and termination processes.
- Support disability-related claims administration by liaising with providers and internal stakeholders on short-term and long-term cases.
- Produce scheduled and ad hoc reports related to payroll, benefits, headcount, and workforce data, and provide documentation for audits as needed.
- Contribute to payroll element setup and related configuration activities within the organization’s newer system environment when required.
Requirements Of the Position
- Diploma or degree in Human Resources, Accounting, Finance, Business Administration, or a related discipline.
- Payroll certification is required.
- At least 5 years of experience in payroll administration, with hands-on exposure to benefits coordination.
- Demonstrated experience processing payroll within an HRIS, HCM, or payroll system environment.
- Familiarity with payroll and HR platforms such as Microsoft Dynamics or Primo Pay is preferred, while experience with Ceridian Dayforce would be an asset.
- Strong understanding of payroll compliance, reconciliations, recordkeeping, and confidentiality standards.
- Ability to obtain a current criminal reference check with vulnerable sector screening as a condition of employment.
- Reliable transportation and flexibility to work additional hours during payroll cycle deadlines are required.
