Project Coordinator I
Location: Toronto, ON (One York Street)
Work Model: Hybrid (1 day onsite every Thursday)
Duration: 12-Month Contract (September 30, 2026 – September 29, 2027)
Rate: 40/hr on T4
KEY RESPONSIBILITIES:
- Support the successful delivery of a large-scale enterprise-wide global brand initiative across multiple workstreams and stakeholder groups
- Coordinate project activities, timelines, schedules, and dependencies to ensure projects remain on track
- Monitor project progress, risks, blockers, and action items, escalating issues when necessary
- Organize project meetings, prepare agendas, capture meeting minutes, and document key decisions and action items
- Maintain project documentation, governance materials, status reports, trackers, and reporting dashboards
- Track project milestones and follow up with stakeholders to ensure timely completion of deliverables
- Coordinate communication among project managers, directors, and cross-functional teams
- Support calendar management, meeting scheduling, and stakeholder coordination
- Assist with process improvements and project governance best practices
- Ensure project information is accurate, accessible, and up to date while supporting operational excellence initiatives
REQUIREMENTS:
- University or College degree in Business, Marketing, Communications, Digital, or a related field
- 2–3 years of experience in Project Coordination, Project Management, Administrative Support, or Marketing Operations
- Strong understanding of project management fundamentals, including timelines, dependencies, deliverables, and workback plans
- Proficiency with Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word
- Experience coordinating meetings, maintaining schedules, and tracking action items
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Excellent written and verbal communication skills
- Ability to work independently, solve problems proactively, and escalate issues appropriately
- Strong collaboration and stakeholder management skills across multiple teams
NICE TO HAVE:
- Experience with project management tools such as Wrike, Smartsheet, or similar platforms
- CAPM certification or progress toward PMP certification
- Experience supporting large-scale marketing, branding, transformation, or change management initiatives
- Experience preparing governance materials, status reports, and project dashboards
IMPORTANT NOTE:
- This is a hybrid position based in Toronto, Ontario, with onsite attendance required every Thursday.
- Contract duration is one year with potential extension based on workload and performance.
- Typical working hours are 8:00 AM – 4:00 PM to support global stakeholders and partners.
- Candidates must be comfortable working in a fast-paced environment, managing multiple priorities, and coordinating with cross-functional teams.
- Recent graduates with strong organizational, communication, and project coordination skills will also be considered.
