Role Overview
The Operations Officer provides operational and administrative support within a financial services environment. The role involves processing requests, reviewing documentation and files, completing transactions accurately, and ensuring service level and productivity targets are consistently met.
The successful candidate will have a background in retail banking or financial services, strong administrative skills, excellent attention to detail, and the ability to adapt to changing processes and priorities.
Key Responsibilities
- Provide operational and administrative support for the assigned functional area.
- Review files and documentation for completeness, accuracy, and compliance with established procedures.
- Review estate-related documentation and identify discrepancies or missing information.
- Complete assigned transactions accurately and within established service level requirements.
- Maintain high levels of productivity and accuracy while managing a high volume of work.
- Follow established policies, procedures, controls, and process guidelines.
- Identify potential risks, discrepancies, or issues and escalate them as appropriate.
- Participate in daily team touchpoints and work distribution activities.
- Support process improvements and adapt to new processes and technologies.
- Maintain accurate records and ensure all required processing and inquiries are completed within established timelines.
- Work independently while also contributing effectively within a team environment.
- Handle sensitive customer information in accordance with established procedures and confidentiality requirements.
- Provide support to internal partners and respond to inquiries within the defined area of responsibility.
Required Qualifications
- 2–4 years of banking or financial services experience, preferably within retail banking.
- Strong administrative experience with the ability to manage multiple tasks and priorities.
- Proficiency with MS 365, particularly:
- MS Word
- MS Outlook
- MS Excel
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to work effectively with strict deadlines and high volumes of work.
- Ability to adapt to changing policies, procedures, and business processes.
- Strong customer service mindset.
- Ability to work independently and as part of a team.
- Post-secondary education or equivalent experience.
Nice-to-Have Qualifications
- Experience reviewing estate documentation.
- Experience reviewing legal or financial documents.
- Familiarity with retail banking products, policies, and procedures.
- Experience working in a highly regulated financial services environment.
- Knowledge of operational controls, audit requirements, and risk procedures.
