We are seeking an experienced Administrative & Digital Communications Coordinator to support a busy professional association on a temporary basis. This opportunity will start October 7th and is expected to run through November 13, 2026, with the possibility of extension depending on organizational needs and will work full-time on-site in Surrey near King George Station.
This is a hands-on role combining administrative support, event coordination, digital communications, and website maintenance. The successful candidate will be comfortable managing day-to-day administrative responsibilities while also independently supporting WordPress, Mailchimp, Eventbrite, and Adobe Creative Cloud.
What You’ll Do:
- Maintain and update the organization’s WordPress website, including: Creating and updating forms, managing website content, completing plugin and security updates, troubleshooting pages or functionality impacted by updates and supporting registration, scholarship, and event request forms
- Create and distribute newsletters and mass communications through Mailchimp and Outlook
- Maintain mailing lists and contact databases
- Set up and manage event and workshop registrations through Eventbrite
- Support the coordination of workshops, training sessions, and member events
- Create and format event materials using Adobe Creative Cloud, particularly Illustrator
- Assist with the preparation of handbooks, workbooks, signage, nametags, sign-in sheets, presentation materials, and other event collateral
- Manage event-related inboxes, member questions, registration inquiries, and general administrative requests
- Format meeting minutes, documents, presentations, and correspondence
- Provide general administrative support to the broader office team
- Assist with preparing materials, supplies, promotional items, and event packages as required
- Handle confidential information with professionalism and discretion
What you bring:
- Minimum 2–3 years of relevant administrative, communications, or marketing coordination experience
- Strong hands-on experience with WordPress, including content management, forms, plugins, updates, and basic troubleshooting
- Experience using Mailchimp for newsletters and mass communications
- Experience with Adobe Creative Cloud, particularly Adobe Illustrator
- Experience with Eventbrite or a similar event registration platform
- Strong knowledge of Microsoft Office / Microsoft 365
- Experience with Google Workspace
- Comfortable using Zoom and other online meeting tools
- Excellent written and verbal communication skills
- Strong attention to detail and a demonstrated ability to produce accurate work
- Highly organized and comfortable balancing multiple priorities and deadlines
